Minimum Requirements

High school diploma and 3-5 years related experience. Bachelor’s degree preferred or equivalent combination of education and experience. Experience working with scheduling data software, such as Titanium, or electronic medical records is strongly preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities

Must be experienced with standard office equipment, including computers, copiers, and fax machines. Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals. Ability to communicate effectively, tactfully and courteously with all constituents groups. Ability to train other employees. Must be capable of exercising good judgment and discretion with interpreting and administering policies and procedures. Knowledge of bookkeeping as well as the general principles, policies and practices of office management essential. Knowledge of federal & state student privacy regulations, including FERPA.

Additional Comments Regarding Position

Fast-paced work environment where multi-tasking is essential. Must be able to manage upset, distraught, impaired, &/or agitated individuals when necessary.

Must have exceptional customer services skills, and office management experience.

Activity

Coordinates complex administrative, office management, and department support activities. Primary responsibility for the scheduling or rescheduling of counseling services by professional staff and interns. Manages schedules and allocation of offices for professional staff and interns. Plans and coordinates services such as the admission to services, assignment of patients, and the maintenance of medical/psychological files. Ensures compliance with laws and regulations, including FERPA, regarding student record security, confidentiality, release of information, and privileged communication. Interprets and applies departmental policies and procedures.

Activity

Researches, drafts and proofs documents for Director and counselors. Assists with the planning, scheduling and coordinating meetings, seminars, in-service activities and special events. Conducts evaluation of services, analyzes data and publishes results. Attends and participates in departmental planning meetings and other staff meetings and records minutes.

Makes departmental purchases, utilizing signature authority for routine supplies and equipment procurement. Reconciles budget and expenditures to ensure accuracy. Initiates all necessary departmental documents (e.g., IDT’s. EA’s, TA’s, etc.) as needed. Prepares deposit records and ensures delivery of monies to Treasurer’s Office.
